How to set up and use Zoom – is it better than Skype?

Video conferencing tools can make your personal and professional communication more efficient and save you time and effort. That is, of course, if you choose the right tool to use.

Traditionally, people have chosen Skype as their telecommunications software. But while it’s a great easy-to-use program, it also has some limitations, like having to pay for some important features or the unnecessarily complicated process of changing your Skype name.

If you are planning to switch from Skype to another video conferencing service, pay attention to its biggest competitor, Zoom. The main reasons for choosing this software include ease of use, low price, and of course the fact that only one person needs to download the software to create a meeting. Everyone else can just follow the link and navigate through it without any problems.

How to adjust the scale

By far, Zoom’s most appealing feature is the user’s ability to join a meeting without having to install any software or go through the registration process at all. However, when you create a Zoom meeting, you still need to set it up and invite other participants.

To start setting up Zoom, follow these steps:

  • Go to the app’s main website and create an account. On the website, click on Sign up in the upper right corner, enter your email address or use your Facebook or Google account to sign in.
  • After confirming your email address, go to the Zoom website link and enter your contact details.
  • The next screen will take you to Invite colleagues page where you can invite people to join your Zoom contact list. You can fill in their details or skip this step to do it later.
  • The next step is to start your first software testing meeting. Click on Start a meeting now button on the screen and you will be prompted to download the program.
  • Once the download is complete, open the app and sign in to your account. You will then be prompted to start a new meeting, join an existing meeting, schedule a meeting, or share the screen with your contacts.

Once you’ve completed your first Zoom video conference, you can start using the app to its full potential. As we mentioned earlier, one of the biggest benefits of using Zoom is that other users don’t need to download an app or register on a website to join your meetings.

When you sign up for Zoom, you automatically receive Basic plan. It’s free and includes unlimited meetings you can start or join, with no time limits when it comes to one-on-one meetings and a 40-minute limit for meetings with 3 to 100 people.

You also have the option to upgrade to a Pro, Businessor enterprise plan starting at $14.99 per month per person.

How to use Zoom like a pro

Once you start using Zoom, you’ll see how intuitive the app is and how easy it is to set up and organize video meetings with the software. However, there are some important tips that you can use to make better use of this program and make teamwork even more effective.

Record your appointments for future reference

Zoom allows you to record video calls and save them for later use. This feature is useful for sharing the content of your meetings with people who were unable to attend.

You can save videos locally on your computer or in Zoom’s cloud storage. You will find the option to record and save your call on the desktop and in the web application under Setting up my meetings.

Create a meeting attendance sheet

With Zoom, you can create each meeting attendance chart and save it for future reference. You’ll find this information in a report that’s automatically generated after your call ends.

To find this list, go to Zoom meetings and find reports. Keep in mind that you must be the host of the meeting to get a list of attendees.

Use the annotation tool when sharing your screen

In addition to being a great video conferencing software, Zoom is also a great screen sharing app. In addition to being able to see each other’s screen, the annotation tool allows Zoom users to draw on the displayed screen and write comments highlighting important parts. In this way, you will be able to instantly give each other feedback on the discussed issues.

To access this tool while the screen is displayed, press View parameters at the top of the screen and select Annotate.

Use keyboard shortcuts

If you want to save time and become a power user, learning keyboard shortcuts is always a great place to start. Zoom is no exception to this rule.

If you use this app regularly, these few shortcuts will save you a lot of time.

  • Cmd + I (for Mac) or Alt + I (for Windows) will take you directly to the invitation window.
  • Cmd + Ctrl + M (for Mac) or Alt + M (for Windows) will mute the microphone for all meeting participants (if you are the meeting host).
  • Cmd + Shift + S (for Mac) or Alt + Shift + S (for Windows) screen sharing will start.

Zoom vs. Skype

While Skype and Zoom are great collaboration tools for remote teams, neither is perfect. This means that you may have to try both and see which one works best for you and your team.
